The quarterly SAP SuccessFactors releases provide new innovations to transform HR processes and increase employee engagement. The latest release includes 6 new tools that help businesses comply with the upcoming General Data Protection Regulation (GDPR).
Prepare your HR for the GDPR
The European General Data Protection Regulation comes into effect on 25 May 2018. It’s designed to harmonize data privacy laws across Europe, to protect and empower all EU citizens’ data privacy and to reshape the way organizations across the region approach data privacy.
SAP SuccessFactors has released several enhancements to its data protection and privacy features. These 6 tools allow you to set data retention policies, manage the permanent deletion of personal data, and oversee consent statements for storing and processing personal data.
Manage, record and report on personal data changes.
Configure fields as sensitive personal data i.e. information revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, etc. This type of data is protected more strictly under the GDPR. Additionally, this feature allows you to manage, record and report on access to these sensitive data fields.
Data Subject Info Reporting
Under the GDPR, data subjects have a ‘right to access’: they can obtain a free copy of their personal data. This new feature allows you to generate a report for each data subject – an employee, a candidate, etc. – containing all relevant data to facilitate this right.
The new legislation forbids organizations to store data any longer than strictly necessary. In addition, data subjects have a ‘right to be forgotten’. Use this tool to permanently remove personal data from SuccessFactors applications when you no longer need it. Furthermore, you can configure country-specific data retention rules.
Access to personal data should always be limited to those who need to see it. This new functionality allows you to restrict a user’s access to historical data while keeping it available to others.
Organizations need the user’s consent to hold personal data. With this feature, you can easily configure and manage consent statements as well as their acceptance. For example: it allows you to obtain consent from job candidates to send them information on future job openings.
